When customers search for magicians near me, they are really looking for an entertainer who will show up and on time. But to be better organized takes a lot of work and discipline especially for anyone first starting out in business.
One of the worst things an entertainer can do is double book themselves. They look unprofessional and unorganized with their life. I have made that same mistake only once.
It was the most awful feeling in the world. I was so embarrassed. How could I allow this to happen?

Appointment Scheduling Solution
I have some checks and balances in place that help me stay on track and know exactly when and where I will be at any given time.
I actually use two calendars. I use the calendar on my cell phone and one in a daily planner that I write down my daily schedule and weekly schedule. This is how I stay more organized with all my shows. This is truly the heart of the business.
Cell phones and Google Calendar Sync help to schedule other appointments which can be beneficial. Cell phones have reminders you can set up for upcoming appointments. It has a section for notes to include any additional information like the name of the contact person, address, phone number, what kind of party and what style of magic will I be performing. What the name of the birthday child is, who is the guest of honor, what is the name of the event.
The beauty of this is that I have all the information when I am at the show, so I don’t forget names and who I need to give recognition to. I can look at my phone and I have all the information at my fingertips.
Having a daily planner is mainly the checks and balance part. Although I have more information in my cell phone about the show details, the daily planner just has basic information such as the show time, contact name, location (city), and how much the magic show cost.
This could be considered double work, but when I book a magic show for a client, it is imperative that I make all the effort to have them on my schedule, so there is no doubt in my mind of whether or not I will be doing a birthday party show or corporate party show.

Create A Planning Schedule And Plan Ahead
Creating a schedule in a planner and on the phone calendar helps to plan ahead for other appointments and obligations.
If the appointment is written down in one location but not the other, then it raises a question to double check with invoices and verify with the client to make sure they are on the schedule.
That would be a lot easier and less hassle than getting double booked.
